Vendor Performance Scores
Purpose
Vendor Performance Scores creates dated supplier scorecards from purchasing and stock evidence. Each published snapshot keeps its KPI results, calculation cutoff, sample thresholds and grade methodology so a later policy edit does not rewrite an earlier result. Purchasing teams can compare current revisions, inspect contributing records and print a PDF.
Before you start
Install the package for your exact Odoo major version. It depends on Purchase with Inventory integration (purchase_stock) and Discuss/mail (mail); the manifest does not require an Enterprise-only application. Record purchase line planned dates, prices, units, completed receipts and supplier returns accurately before calculating.
This guide follows the Odoo 19.0 source. Other listed releases received selected source-difference review; no runtime workflow was executed.
Access and roles
Purchase users can read policies and published scorecards and KPI evidence. Purchase managers configure policies, preview calculations, publish snapshots and create revisions. Company restrictions apply. Opening a source purchase order or stock move also requires the user's normal access to that record; a scorecard does not grant additional purchasing or inventory permissions.
Setup and menus
A Purchase manager opens Purchase → Configuration → Vendor Score Policies and creates a company policy. Configure the six required KPIs: on-time receipt rate, average days early/late, ordered-versus-received fill rate, cancellation rate, return rate and price consistency. Set each KPI's weight, direction, target and worst value. Weights must total 100 and every KPI must occur once. Grade bands must cover 0–100 continuously without overlap.
Set minimum order count, minimum order value and minimum effective weight. These thresholds prevent a grade from being assigned when the available sample is too small. Choose monthly, quarterly or custom cadence. Scheduled generation is optional: monthly and quarterly policies process closed periods in bounded vendor batches; custom periods are calculated manually.
Vendor Scorecards and Calculate Scorecards appear in Purchase's vendor menu. Supplier Performance and Vendor KPI Analysis appear under Reporting.
Calculate and review a period
- As a Purchase manager, open Calculate Scorecards. Select the company, its policy, the vendors and the start/end dates. Vendors are evaluated at commercial-entity level.
- Click Preview Calculation. The preview fixes a calculation cutoff and shows each vendor's score, sample size, available KPI weight and status. Review these before publishing.
- Check what belongs to the period. Eligibility follows each purchase line's planned date, not the purchase order's creation date. Positive-quantity, non-service lines on confirmed, completed or cancelled orders contribute. Completed stock moves before the cutoff supply receipt/return evidence, including late receipts after the selected period.
- Click Publish Snapshots. The module recalculates against the same cutoff and rejects a stale preview if its settings, source evidence or results changed. Run Preview Calculation again when prompted. Successful publication opens the stored scorecards.
- Open KPI Breakdown and Source Summary. Use Purchase Orders and Receipts / Returns to inspect accessible source records. Print PDF is available for published cards. Supplier Performance reports use published current revisions.
- To correct a published period, use Create Revision, enter a reason, preview and publish again. The new revision becomes current and earlier revisions remain available. Published snapshots cannot be edited or deleted.
Understanding the results
The module normalizes units and currency before comparison and weights the operational ratios by purchase line value. Fill rate uses net receipts after returns and can exceed 100% for overdelivery. On-time quantity is capped at the ordered quantity. Delay uses signed calendar days to the latest included receipt, so early delivery is negative. Cancellation uses cancelled eligible order value. Return rate compares supplier returns with gross receipts.
Price consistency measures dispersion around the median normalized price for products with at least two eligible prices; it does not compare prices with an external market benchmark. Available KPIs are scored between 0 and 100 and their weights are normalized over the available evidence. Insufficient data retains the evidence and calculated result but assigns no grade when a minimum threshold is unmet.
Trend compares a sufficient result with the earlier period's current sufficient revision: a change greater than one score point is improving or declining; smaller changes are stable. Missing comparable evidence gives a new trend.
Practice scenario
In an authorized test database, use fictional vendor North Pier Supplies with three confirmed orders whose planned dates fall in September. Record completed receipts, including one late delivery, and a supplier return. Preview September under a policy requiring three orders. Inspect the affected fill, delay and return KPIs before publishing. Then correct a receipt and create a reasoned revision. This is a source-derived exercise, not an executed test or a promised numerical grade.
Troubleshooting and limitations
An empty sample can result from planned dates outside the period, service products, draft RFQs, another company or an unselected commercial vendor. A missing grade may reflect sample thresholds rather than a calculation failure. Missing price consistency commonly means there are fewer than two prices for each product. A fresh receipt after the cutoff requires a new preview or later revision to include it. Policies with duplicate KPIs, invalid weights or gapped grade bands must be corrected before use.
Versions and useful links
Packages are listed for Odoo 15.0–20.0. Releases 15.0–16.0 read the older completed-quantity fields; 17.0–18.0 retain older purchase-unit fields, while 20.0 uses the newer unit and access-policy APIs. Native list layouts also vary. These adaptations do not establish full workflow equivalence across versions. Only the qualified 19.0 demo is linked here.
