Publish an assignment and record internal submission evidence
Use this workflow to prepare an assignment for a published course offering and capture a student's response or other evidence inside Odoo. The teacher records the submission and seals private feedback. The result is an internal classroom evidence record; this guide does not cover a student portal submission or the publication of official grades.
The steps describe the reviewed Odoo 20 Community source and supplied forms. They have not been exercised as a complete browser journey. See Education: getting started for the compatibility qualification and its limits.
Before you begin
Install Classroom with its Students dependency and the underlying Academics, Documents, and Core modules. The Classroom Gradebook Bridge is a separate addon and is not required for the steps below.
Use an ordinary signed-in Classroom Teacher account that is assigned to the course offering as its responsible teacher or an assistant teacher. The user needs the campus in Allowed Campuses, the company enabled, and exactly one active Education Staff profile for that company and campus linked to the user.
Ask the academic and student-records teams to prepare:
- A Published course offering for the intended class, subject, campus, and term, visible under Education → Academics → Course Offerings.
- An assignment date within that offering's term and a due date on or after the assignment date.
- Student class placements effective on the assignment date. The system checks the dated roster and requires one effective placement for each recipient when it authorizes the action.
Use a teaching account whose role combination has been validated for this workflow. A Classroom Manager title or a session substitution does not, by itself, make the user an assigned offering teacher for assignments. Combining the teaching account with Student Officer or Student Manager can also block these actions because those roles take precedence in the roster authorization check. Have the administrator resolve the role setup rather than adding more permissions to try to bypass a denial.
Draft and publish the assignment
- Open Education → Classroom → Assignments and create an assignment. Enter a meaningful Name, select the published Course Offering, and set Assigned Date and Due On.
- Choose Recipient Scope. For a first assignment to the full class, use Offering Roster. Its recipients are generated at publication, so leave Frozen Recipients empty while drafting. For a selected group, choose Named Delivery Group and enter a group label, or choose Dated Explicit Recipients; then add the intended students under Frozen Recipients. Every selected student must belong to the offering's roster on the assignment date.
- Choose the Evidence Type, then enter Instructions and any Resource Notes. The available types are Internal Text, Internal File, Physical Evidence, Oral Evidence, and Practical Evidence. For a simple first workflow, choose Internal Text and describe the response you want the teacher to capture.
- Save and review the offering, dates, instructions, evidence type, and recipient scope. These details become fixed when published. For selected recipients, check the student rows and any differentiated requirements before continuing.
- Choose Publish. Confirm Published status and the Published By and Published On fields. Open Frozen Recipients and check the students, placement references, and roll numbers captured for the assignment.
Expected result: a published assignment with a fixed recipient list and fixed content. Later roster changes do not automatically add students to this snapshot. Published assignment content and recipients cannot be edited or deleted through this workflow.
Capture and submit the evidence
-
Open Education → Classroom → Internal Submissions and create a record. Select the published Assignment and one of its Recipients. Confirm the Student and inherited Evidence Type. Each recipient can have only one internal submission record for an assignment.
-
Complete the Evidence tab according to the type:
Evidence type Required content Internal Text Text Evidence containing the response Internal File File content and a File Name Physical, Oral, or Practical Evidence Evidence Notes describing the evidence -
Save and review the draft. Choose Submit Evidence. Confirm Submitted status, Submitted By, and Submitted On. The evidence payload is now fixed; the remaining editable content is Private Feedback.
-
Open Private Feedback, write the feedback, and save. Review it, then choose Seal Private Feedback. Confirm Reviewed status, Reviewed By, and Reviewed On.
Expected result: an attributable internal submission with its evidence and private feedback sealed against later edits. The assignment's Internal Submissions tab shows the related evidence records and their status.
Close the assignment when your process is finished
- Return to the assignment and choose Close when the responsible teacher is ready to end it. Confirm Closed status. New internal submission records require a published assignment, so complete the intended capture work before closing.
The Close action does not itself require every recipient to have a reviewed submission. Check the Internal Submissions list according to your school's completion process before choosing it. This guide supplies no reopen action.
Common stopping points
| What you see | What to check |
|---|---|
| Course offering is missing | Confirm it is Published, its company is enabled, the campus is assigned, and the user is its responsible or assistant teacher. |
| “An assignment requires an effective Offering roster.” | Ask the student-records team to check class placements on the Assigned Date. |
| “Only an assigned Offering teacher may manage assignments.” | Ask the administrator to check the teaching assignment, active staff profile, and any Student Officer or Student Manager role combination. |
| A selected recipient is rejected | Check that the student has one effective placement in the offering's class, campus, and company on the Assigned Date. |
| Submit Evidence reports missing content | Supply the text, file plus filename, or evidence notes required by the assignment's type. |
| Seal Private Feedback is blocked | The submission must be Submitted and Private Feedback must contain content. |
| Published or reviewed details are read-only | Publication and review are fixed evidence boundaries. Review drafts before crossing them. |
