Prepare a quotation from an existing prescription

The Billing addon can create a sales order from an existing prescription's catalog products. Its automation can also confirm the order, validate deliveries, and create and post an invoice. This guide uses three supplied prescription-level opt-outs to stop at a draft quotation for review.

These instructions review the Odoo 20 source and supplied forms. They do not claim runtime or edition acceptance. The starting prescription must already have been prepared and confirmed through the practice's authorized clinical workflow; this guide does not prescribe treatment, create clinical approval, or record administered doses.

Before you begin

Use Corvus VetSuite — Billing with its Encounters, Sales, Inventory, and Accounting dependencies. The operator needs Clinician (DVM) or Practice Manager access to update the prescription, plus ordinary Odoo permission to create and read sales orders and order lines. Front Desk alone has prescription read access, which is insufficient for saving the opt-outs and resulting Sale Order link. A visible button does not grant the underlying Sales permissions.

Have an authorized administrator and the responsible staff verify these prerequisites:

  • The existing prescription is Confirmed, linked to the intended visit and patient, and has no Sale Order already attached.
  • At least one prescription line uses a real catalog Product. Manual medication text without a product is skipped by billing and does not become a sale line.
  • The stored Client at Prescription is the intended sales customer and matches the visit's payer record. The patient, visit, and prescription have compatible company and practice-site scope, and the operator can access that site and company.
  • The product's sales configuration, units, prices, and taxes are prepared by the responsible sales/accounting team.

The supplied forms do not expose every stored payer, responsibility, or site value. Obtain administrator confirmation for those prerequisites; do not attempt to edit hidden snapshots or bypass a mismatch error. This starter path covers a straightforward visit where the intended customer and payer agree.

Set the quotation boundary

  1. Open Corvus VetSuite → Clinical → Prescriptions and select the intended existing Confirmed prescription. Check its patient, visit, Client at Prescription, and clinical reference with the responsible team.
  2. Open its Billing tab. Check whether Sale Order is already populated. If it is, open and review that existing order; do not try to create another from the same prescription.
  3. Select all three controls: Skip Auto Sale Confirmation, Skip Auto Delivery, and Skip Auto Invoicing. Save the prescription, then verify all three are still selected before continuing.

These are native fields on the Billing tab, not special commands or context settings. Practice-wide options under Corvus VetSuite → Configuration → Settings → Billing Automation also govern this action. Their supplied defaults enable automation. The per-prescription opt-outs are necessary to the bounded procedure described here; a settings change must follow the practice's separate administration process.

Expected result: an existing Confirmed prescription with no linked sale order and all three saved opt-outs selected. No order has been created by these steps alone.

Create and review the draft quotation

  1. Choose Create Sale Order once. This supplied button is hidden for Draft or Cancelled prescriptions and when a Sale Order is already linked. The guide's starting state remains Confirmed; button visibility is not a new clinical authorization.
  2. Review the returned sales form. With the three saved opt-outs, the source creates the order without its automatic confirmation, delivery validation, or invoice posting steps. Confirm it is still a draft quotation before handing it to the sales team.
  3. Check the customer and the visible Patient and Visit fields. The action takes the customer from Client at Prescription and copies the clinical links. Stop if the intended customer or context is wrong.
  4. Review every generated product line, quantity, description, unit, price, and tax with the responsible sales team. Product-backed prescription lines become sale lines; manual-only lines do not. The description may include the prescription's dosage text, so check its suitability for the quotation's intended audience.
  5. Return to the prescription's Billing tab and verify the Sale Order link. Record the quotation reference and leave further confirmation, sending, delivery, invoicing, and payment processing to the separately authorized sales workflow.

Expected result: one draft quotation connected to the prescription, patient, and visit, ready for review. A linked quotation does not prove that products were dispensed, administered, delivered, invoiced, or paid for.

Understand the generated quantities

The billing action starts with the greater of the prescription line's prescribed quantity and recorded given quantity. If the product exposes a doses-per-sale-unit value greater than one, it divides by that value and rounds upward to a whole sale unit. Otherwise it uses the starting quantity.

This is the software's billing conversion, not a clinical dosing recommendation. A partial administration does not necessarily produce a smaller quotation. Review packaging and quantities with the responsible team rather than changing clinical records to obtain a desired sales total.

Try a controlled fictional review

In an authorized training environment, have the clinical team provide an already-confirmed fictional prescription for Pip and a training visit, with a known catalog-product line and matching client/payer context. The exercise starts from that prepared fixture; do not invent a treatment to satisfy the example.

Save all three Billing opt-outs, create the order once, and compare its product line with the prepared prescription and product configuration. Check the patient, visit, customer, draft status, and prescription's Sale Order link. Stop at quotation review. This guide has not created the fixture or executed the workflow.

Troubleshooting and limits

ProblemWhat to check
Cannot save the Billing opt-outsCheck prescription write access; Front Desk alone is insufficient.
Create Sale Order is missingCheck the prescription state, existing Sale Order link, and whether Billing is installed.
Sales creation is deniedCheck ordinary Sales permissions in addition to Corvus clinical access and company/site visibility.
Customer/payer or company/site mismatchStop and ask the administrator to review the underlying records. Do not rewrite clinical or responsibility history to force billing.
Expected line is absentManual medication text without a catalog Product is skipped.
Quantity differs from the prescribed numberReview given quantity and any product sale-unit conversion and rounding.
Prescription already has an orderOpen its Sale Order link and review the existing record.

The action can create an empty order if all lines are manual text; that is why a product-backed line is a prerequisite. These instructions do not cover every visit charge, clinical treatment, insurance claims, posted invoices, credit notes, taxes or accounting policy, payment collection, PDF/ZPL output, or live provider processing. Return to VetSuite setup or appointments and visit handoff.
