Product Archive: Purchase

Purpose and prerequisites

Product Archive: Purchase adds purchasing dependencies to Product Archive Checks. It checks RFQs, sent RFQs, orders awaiting approval, and confirmed purchase orders with quantities still to receive. The result joins the same preflight, archive decision, and audit used by the base addon.

This is a helper with no standalone menu or application. It depends on corvus_product_archive_guard and native Purchase/Inventory integration (purchase_stock) and is marked for automatic installation when the matching package and dependencies are available. No Enterprise-only dependency is declared. All installed packages must match your Odoo major version.

This guide follows the 19.0 source workflow with selected comparisons of other versions. No runtime or archive test was performed.

Access and setup

The bridge adds Open RFQs / Purchase Orders to the existing Product Archive Policies form. Its default is Warning; Ignore and Block are alternatives. Only Purchase managers can change this field. Their bridge access permits reading and updating the purchasing setting on an existing policy, not creating a policy or changing core Inventory settings without the corresponding role.

The base configuration menu remains for Inventory managers. An administrator should provide an appropriate combined role or authorised route to the policy. Inventory users run preflight, and Inventory managers archive or unarchive products. Purchase manager status alone does not authorize archive.

Workflow

  1. Review the purchasing severity on the applicable company or category policy with the responsible managers. Use Block when open purchasing must be resolved before a product is retired.
  2. Open Archive Preflight on the product or variant. The bridge uses the full ordered quantity for draft, sent, and awaiting-approval purchases. For confirmed purchases, it uses the positive ordered-minus-received remainder and converts it to the product unit.
  3. Inspect Open RFQ or purchase order findings, including quantity and earliest planned date. Follow Open when available and resolve the actual line: cancel it, complete its legitimate receipt, or replace it through your normal purchasing process.
  4. Return to preflight and select Refresh. A purchase finding with no remaining positive quantity is omitted. Native stock findings can remain and must be assessed separately.
  5. An Inventory manager uses Archive Eligible according to the base guide. Safe only leaves warning products active. Safe and acknowledged warnings requires acknowledgement; blocked products remain active. Review the resulting Archive Audits.

Practice scenario

In an authorised test database, create a fictional RFQ for ten “Cedar Replacement Caps” and set the purchase policy to Warning. With no stock or other dependencies, preflight should show an open purchasing warning for ten units. Cancel the test RFQ and refresh to verify the finding disappears. This expectation comes from source review; the scenario was not executed.

Troubleshooting and limitations

The check depends on native purchase lines and quantities, not a product name appearing in a document's free text. Confirmed purchases with zero remaining quantity do not produce this purchasing finding; cancelled orders are not selected. A goods receipt can still be an open stock operation detected by the base addon.

The bridge does not cancel purchase orders, validate receipts, or change products automatically. Summarized findings can cover multiple lines or orders, while Open points to a representative record the reader can access. A restricted-company summary still affects the archive result.

Qualified catalogue versions are 15.0, 16.0, 18.0, 19.0, and 20.0; 17.0 source exists but is not a qualified live-demo pair here. Quantity and unit field names differ across the inspected versions, including the 19-to-20 purchase quantity adaptation, and 20.0 changes access declarations. Use the exact-version build; the selected comparisons are not runtime certification.

Live Test — Odoo 19 is catalogue-qualified; no demo was launched. Choose your exact version in the Corvus catalogue.
